How to create a cash refund in the NetSuite Legacy Tax Adapter for GTD

A cash refund is a transaction that returns money to a customer who immediately paid for goods or services using cash, a check, or a credit card.

To refund a cash sale, follow these steps:

  1. Go to Transactions > Customers > Refund Cash Sales.
    • You can also open the cash sale and click Refund.

  2. In the Primary Information section, fill in the following information:
    • Customer: Select the customer whose sale you're refunding.
    • Date: This field will be filled in automatically. You can keep this value or enter a different date.
    • Posting Period: Select the period you want to post this refund to.
    • Currency: If you want to change the currency on the record, you can do so in this field. Prices and amounts will be updated to the currency you select.
    • Refund #: This field will be filled in automatically. You can keep this value or enter a different refund number.
    • Check #: If the customer paid by check, enter the check number.
    • Create Check: Select this option if you want to refund the money by check.
      • To print the check from the checks queue, select Print Check. If you click Print after filling in the information on this page, it will print the refund form rather than the check.
    • Account: Select the bank account you're using for this refund.
    • Memo: Enter a memo to identify this cash refund. You'll be able to find this refund by searching for whatever you enter here.
    • Custom Form: Select the form you want to use for this refund.

  3. You can change the exchange rate for this transaction by entering a new value in the Exchange Rate field in the Items tab.
  4. If the refund is created from a cash sale, the lines from that sale will appear automatically. To create an item line, click Add and fill in the following fields for each item:
    • Item
    • Quantity
    • Price (if not already filled in)
    • Tax Code
    • Ship To (if Enable Item Line Shipping is selected)
  5. Click Save.
