Ask customers to upload their own certificates

CertManager makes it possible for customers to upload their exemption certificates on their own. There are two tools available for this: the Exemption Wizard and the Bulk PDF Upload tool. Both tools can be accessed through a link sent to the customer in an email.

  • Using the Exemption Wizard, a customer can upload a certificate or choose from a list of blank certificates to create their own. The customer will fill in the exemption details, so you only need to verify the information that the customer entered when converting the certificate into an exemption.
  • The Bulk PDF Upload tool allows customers to upload a large number of completed exemption certificates in bulk. This option doesn't require customers to enter the details of the exemptions, so you'll need to add them manually when you convert them into exemptions in CertManager.

The uploaded certificates will appear under the Submitted tab on the Manage Certificates page in CertManager.

Using the Exemption Wizard

  1. The customer can access the wizard by clicking a link embedded in an email that you sent to the customer. When the customer clicks this link, the Exemption Wizard Agreement will pop up first, and they will need to click Accept to continue.

  2. In Enter Basic Details step, the customer must enter the details of their exemption; all fields are required. If everything looks good, they need to click Next.

  3. The customer will need to either create a form or upload a PDF of the form, depending on which option they chose in the last step.
    • If the customer selected I do not have a completed PDF of the form and the form is available in CertManager, they must fill in the required information in a blank copy of the form and click Next.

    • If the customer selected I do not have a completed PDF of the form and the form is not available in CertManager, they must get the form from the taxing authority and fill it out, then select I already have a PDF of the form.
    • If the customer selected I already have a PDF of the form, they must upload the PDF by dragging and dropping it into the Exemption Certificate PDF box or clicking Browse and selecting the file from their computer. After the file appears on the screen, they need to click Next.

  4. In the next step, the customer needs to click Download pdf preview and review the details of the exemption. If everything looks good, they need to click Submit.

The Submit button won't be clickable until the customer has clicked Download pdf preview.

  5. When the certificate has been submitted, the following success message will appear. The customer can then click Submit another to repeat the process and add another certificate to CertManager.

For security reasons, the link to the Exemption Wizard will be active for 14 days from the time it was emailed. Once the link has been clicked, customers can only access the Wizard for one hour before being locked out. The link can only be accessed once. Once the customer closes the Wizard, they won't be able to go back in, even if one hour has not yet passed.

Using the Bulk PDF Upload tool

  1. The customer can access the tool by clicking a link embedded in an email that you sent to the customer. When the customer clicks this link, the Exemption Wizard Agreement will pop up first, and they will need to click Accept to continue.

  2. The customer can upload a PDF of the certificate by dragging and dropping it into the Exemption Certificate PDF box or clicking Browse and selecting the file from their computer. Multiple files can be uploaded at the same time.
  3. The tool shows the number of certificates that have been successfully uploaded.
